Start collecting documents 3–4 months before your first deadline. Some, such as police records and notarized diplomas, take weeks.

Core documents (almost every application)

  • Passport — photo page scan, valid for the whole application period
  • Highest diploma — notarized copy; translated into Chinese or English
  • Academic transcripts — notarized and translated
  • Passport-style photo
  • Language certificate — HSK for Chinese-taught; IELTS/TOEFL or equivalent for English-taught
  • Foreigner Physical Examination Form — completed by a doctor, signed and stamped
  • Certificate of no criminal record — usually issued within the last 6 months

Usually needed for master's and PhD

  • Study or research plan (often at least 800 words)
  • Two recommendation letters from professors or associate professors
  • CV
  • Pre-admission letter from a supervisor (optional, but strong)
  • Publications or portfolio, if relevant

Self-funded students

  • Financial guarantee — bank statement or sponsor letter showing you can cover tuition and living costs
  • Application fee payment receipt

Applicants under 18

  • Guardian letter naming a legal guardian residing in China, signed by your parents

Authentication: apostille or legalization

China joined the Apostille Convention (effective 7 November 2023). If your documents come from another member country, an apostille from your country's competent authority is generally enough. Otherwise you may still need consular legalization. Universities differ on whether they want this at application or only on arrival. Ask before you pay.

Tips

  • Scan everything in color at 300 dpi and name files clearly (for example passport_SMITH.pdf).
  • Keep originals together — you will need them again for the visa and residence permit.
  • Translations should come from a certified translator unless the university says otherwise.

Frequently asked questions

Do I need consular legalization or an apostille?

China joined the Apostille Convention in November 2023. Documents from other member countries can generally use an apostille instead of consular legalization. Check what your university accepts.

How recent must the physical exam and police record be?

Most universities want both issued within the last six months before you apply or arrive.
